It also stays yours if you change email companies. In this guide you will choose where your email lives, create your first mailboxes and connect them to your phone and computer.

Customers and suppliers notice the difference. Messages from a real business domain are more likely to be opened and less likely to be mistaken for scams. A proper setup also makes it easy to add staff later and keeps your records under your control.

⏱ 30 minutes◎ Beginner☰ 8 steps↻ Updated Oct 2026

On this pageWhat you needStepsCommon mistakesFAQ

What you need

A registered domain name

Access to your hosting cPanel or a Google Workspace or Microsoft 365 plan

Access to your domain’s DNS settings

Your phone or computer for testing

Steps

1

Choose where your email will live

You have two common choices. Email included with your cPanel hosting costs nothing extra and suits a small team that mostly needs a few inboxes. Google Workspace or Microsoft 365 charges per user each month but adds a polished app, shared calendars, large storage and strong spam filtering. If you rely on email for most of your sales, a dedicated email service is usually worth the cost.

2

Plan your addresses

Decide on a simple pattern before you create anything. Use first names or first initial and last name for people, such as maria@ or mlopez@. Use role addresses like info@, sales@ or billing@ for shared jobs. Role addresses can be forwarders or aliases that deliver to a real person, so you do not pay for an extra mailbox for each one.

Tip: Use the same pattern for everyone so customers can guess a colleague’s address.

3

Create a mailbox in cPanel

If you are using hosting email, log in to cPanel and go to Email, then Email Accounts, and click Create. Choose your domain, type the username, the part before the @, and set a strong password or click Generate. Set a storage limit if your host allows it, then click Create. Repeat for each person who needs their own inbox.

4

Or set up Google Workspace or Microsoft 365

If you chose a dedicated service, sign up and enter the domain you already own. The setup wizard asks you to prove you own it, usually by adding a TXT record in your DNS settings. Then create a user account for each person. Keep the setup page open, because it shows the exact MX records you need in the next step.

5

Point your MX records

MX records tell the internet where to deliver mail for your domain. For cPanel email on a host that runs your DNS, these are usually set for you. For Google Workspace, the current setup uses a single MX record with the value smtp.google.com and priority 1. Microsoft 365 shows a unique value in its setup screen. Delete old MX records so mail does not split between two places.

Tip: In cPanel, you can review MX records under Domains, then Zone Editor, or Email, then Email Routing.

6

Connect your phone and computer

For cPanel email, open Email Accounts and click Connect Devices next to the address. It lists the server names and ports for your email app. Choose IMAP, not POP3, so your mail stays in sync across every device. Use the secure SSL or TLS settings shown. For Google Workspace or Microsoft 365, sign in with the Gmail or Outlook app using your new address and password.

7

Add forwarders and a signature

Set up role addresses so they deliver to the right person. In cPanel, go to Email, then Forwarders, and click Add Forwarder. In Google Workspace or Microsoft 365, add the address as an alias on a user. Then add a simple signature with your name, title, phone number and website. Keep it short and avoid large images, which can trigger spam filters.

8

Send test messages

Send an email from your new address to a personal Gmail or Outlook account, and reply back. Confirm the message arrives in the inbox, not spam, and that the reply reaches you. If it lands in spam, set up SPF, DKIM and DMARC next. These records prove your messages are really from you and are now expected by the major email providers.

Common Mistakes

Keeping old MX records next to new ones, so some messages arrive in the old system and are never seen.

Using POP3 on several devices, which downloads and removes mail so each device shows a different inbox.

Skipping SPF, DKIM and DMARC, so messages from the new address go straight to customers’ spam folders.

FAQ
<details class="sfl-faq" open>
Is free email with my hosting good enough?

For many small businesses, yes. Hosting email works well for a few inboxes with normal daily volume. It shares a server with your website, so a busy or attacked site can affect mail. If email is critical to your sales or you need shared calendars, a dedicated service like Google Workspace or Microsoft 365 is more reliable.
</details><details class="sfl-faq">
Can I keep using Gmail but send from my business address?

You can, but it is not ideal. Gmail can send as another address through its settings, but you still need a mailbox or forwarder on your domain, and setups like this often fail email authentication. A proper business mailbox gives better delivery and keeps your business mail separate from personal mail.
</details><details class="sfl-faq">
Will setting up email affect my website?

No, as long as you only change MX records and the TXT records your email provider asks for. Your website uses A and CNAME records, which you should leave alone.
