Business Email Explained.

In one sentenceBusiness email is an email address that uses your own domain name, like hello@yourbusiness.com, instead of a free address from Gmail, Yahoo or Outlook.

What It Is

A business email address ends with your company’s domain name rather than a free provider’s. Instead of joesplumbing1987@gmail.com, you would be joe@joesplumbing.com. Behind the scenes it still needs an email service to store and send your messages, which might be your web host, a dedicated email provider, or a workspace suite such as Google Workspace or Microsoft 365.

Why It Matters for Your Business

Customers notice the difference. An address on your own domain looks established and makes it easier for people to trust a quote or invoice, while a free address can look temporary or even like a scam. It also keeps you in control. If an employee leaves, their business address stays with your company, along with the conversations clients have had with them.

Good to Know

Set up email authentication (SPF, DKIM and DMARC) from day one so your messages land in inboxes rather than spam folders. Be careful when moving your website to a new host, because changing nameservers can accidentally break email if the MX records are not copied over. Decide early who controls the domain account, since email depends on it.
